The File Hills Qu’Appelle Tribal Council (FHQTC) Education is an organization that provides a range of programs and services to the member Nations within the Treaty Four Territory. Reporting to the Director of Education, the Executive Assistant is responsible for a wide range of administrative support, including administrative, reception, fiscal, and clerical duties. This role requires a well-organized and results-oriented individual to work closely with the Director to ensure the effective administration of internal systems, meet deadlines, and manage internal and external communications.
Key Responsibilities:
Provide confidential and administrative assistance to the department.
Create, compose, and edit correspondence, research and compile data, and prepare reports and meeting summaries.
Ensure day-to-day operations comply with agreements, policies, procedures, and the overall Education mandate.
Oversee records management processes and assist with policy development.
Organize all meeting logistics, including the coordination, preparation, and distribution of information, meeting agendas, notifications, and meeting minutes.
Arrange meeting facilities, catering services, and conference calls.
Facilitate travel and accommodation arrangements, and aid with the preparation and processing of expenses and financial reporting.
Education: Bachelor of Business Administration Degree, or a Graduate of a recognized office administration program.
Experience: A minimum of two years of office experience is required. Experience working with First Nations and knowledge of First Nations values, culture, traditions, and governance is highly valued.
Sector Knowledge: A working knowledge of Education programs and services is considered an asset.
Technical Skills: Proficiency with modern computer/technology skills, including high proficiency with Microsoft 365 Office software.
Core Competencies: Excellent oral, written, communication, and organizational skills. Must be punctual, dependable, and capable of handling multiple tasks with minimal supervision in a strictly confidential environment.
