FHQTC

The File Hills Qu’Appelle Tribal Council is a non-profit organization that provides a range of programs and services to its 11 member First Nations throughout southern Saskatchewan within the Treaty Four territory. FHQTC strives to actualize the rights, inherent obligations, and opportunities passed down, recognizing the role we have in ensuring a sustainable livelihood for future generations. The foundation of who we are embodies the languages, cultures, and traditions of our distinct Nehiyaw, Anishinaabe, Nakoda, Dakota, and Lakota nations.
Reporting to the Executive Director, Governance, Programs & Policy, the Emergency Management (EM) Administrative Assistant will be responsible for providing day to day office reception and administrative services while performing standardized administrative duties in accordance with established policies, procedures, and schedules of FHQTC.
RESPONSIBILITIES
  • Provides general office reception for visitors and clients; respond to / refer requests for basic information regarding Emergency Management.
  • Prepare and draft all program information kits and event material (agendas, meeting information, etc.)
  • Coordinate meeting logistics for Emergency management workshops, trainings (facility, equipment, audiovisual equipment, etc.)
  • Create and maintain an electronic system within CITRIX network system as well as general filing systems;
  • Prepare, modify and submit respective and required program correspondence documents including, administrative forms, meeting minutes, reports;
  • Assist in compiling and/or coordination of reports required for the programs.
  • Responsible for maintaining an inventory of all EM office equipment (computers, printers, etc.), supplies (phones, computers) and furnishings for the Emergency Management Program.
  • Create and maintain an internal data collection system for the FHQTC Search and Rescue chapter.
  • Train with search and rescue team and track information.
  • Other duties as assigned.
EDUCATION AND QUALIFICATION REQUIREMENTS
  • Office Administration Diploma or certificate
  • 2 years minimal experienc
KNOWLEDGE AND COMPETENCIES
  • Experience working with First Nations and familiarity of customs, culture and traditions;
  • Ability to set up and maintain internal administrative structures to support office needs.
  • Punctual and dependable with a strong ability to adjust priorities to meet current needs of the program, First Nations, and FHQTC
  • Able to handle multiple tasks and work with minimal supervision and constant interruptions;
  • Excellent interpersonal, oral, written, communication and organizational skills;
  • Proficient knowledge and experience with Microsoft Office.
  • Ability to work as a member of an inter disciplinary team.
CONDITIONS OF EMPLOYMENT
  • The hours of work are Monday to Friday 8:30 am to 4:30 pm (7.5 hrs/day)
  • Candidates must have CPIC and security check completed prior to employment and will be subject to periodic checks
